Add users to your account
There are three ways a user can be added to Reality Cloud Studio, depending on who they are and how your organisation manages access. Use the guide below to find the right process.
Which scenario applies to you?
Scenario | Who is the person? | How they join |
|---|---|---|
Someone in your organisation who does not yet have an HxDR account. | Admin sends an email invitation; person accepts the link and creates an account. | |
Someone from a different organisation who already has an HxDR account. | Add them directly to a specific project; no company account membership required. | |
A colleague when your organization uses SSO. | Person logs in with their company credentials; account is created automatically. |
Invite a colleague
Use this when: you want to add someone from your own organisation to the company account so they can access projects and collaborate.
The person does not need an existing HxDR account. They will receive an email invitation and must follow the link to complete registration.
Requirements:
You must have an Admin or Maintainer company account role to send invitations.
The invitation link remains active for 30 days. After that, a new invitation must be sent.
⟝ Inviting internal users to company account
Invite an external partner or contractor
Use this when: you want to share a specific project with someone from a different organisation — for example, a sub-contractor or a client — who already has an HxDR account.
The person is added to your company account as an External Member, with access limited to the invited project. Their default project role is Viewer. Their own organisation does not need an active subscription.
Requirements:
The person must already be registered in HxDR under a different company account.
The email address is case-sensitive and must match the address used at registration.
⟝ Inviting external users to a project
Onboard using Single Sign-On (SSO)
Use this when: your organisation has SSO enabled and colleagues should log in using their existing company credentials rather than a separate HxDR password.
Unlike the invitation flow, SSO users do not receive an email invite. They create their account automatically the first time they log in at hxdr.app using Single Sign-On. See Login and authorization for what this login screen looks like. Once logged in, their account appears in the Users menu and an Admin can assign them a company account role.
Requirements:
SSO must already be configured for your organisation. See Single Sign On (SSO) if you have not set this up yet.
An Admin account is needed to assign roles to newly created SSO users.
After adding a user
Once a person has joined — regardless of which path they took — you can manage their access at any time:
Change their company account role: go to the Users menu and select the user.
Add them to a project: open the project, go to the Members tab, and use Add members.
Change their project role: see Editing project member roles.
